Social Channel Dashboard - User Guide

Get social performance data, benchmark against your peers & grab data sets or visualizations for presentations

The Organic Social Media Channel Dashboard is made up of six pages and currently pulls directly from organic post data in Sprout Social for Facebook, LinkedIn, X and Instagram. YouTube data will be added when it becomes available. Note also that Instagram Story engagement types are currently limited in Sprout's API. Once available, they will flow into the dashboard. We will keep the community up-to-date.

Features of the dashboard include:

  • Answer performance questions for your area quickly using trends and benchmarks
  • Ability to export graphics for presentations
  • Ability to easily download data for deeper analysis
  • Provide access to live data

Some key things to keep in mind:

  1. Sprout Social is the tool of record for this data. If your account information is not available via that tool, it will not appear in this dashboard.
  2. Data is updated daily automatically.
    • You do not need to do any uploads.
    • You do not need to wait until the end of the month to view your data.
  3. Full data is available starting FY21.

Note

You must have completed the Institutional Data Policy training to access any reports on Tableau Server. If you have completed Institutional Data Policy training and cannot access this dashboard, please reach out to adv-marketinganalytics@osu.edu.

I have 5 minutes - how are my accounts performing for the year?

Navigate to the right-hand filter and select your unit in the Primary Filter dropdown. By leveraging the Cover Page you can understand key metrics over the selected date range including engagement rate, total engagements, total impressions and post volume. Hover over bars on the lower half of the cover page to see breakdowns for impressions, engagement and post volume by platform.

Pro-tip: The default view for is full year for the prior year (FY21 at launch) and YTD for the current year (FY22 at launch). To limit the prior year to the same period as the current year, use the Quarter or Month filters on the right.

I have 20 minutes – what else can I learn about social performance?

Page 2 of the dashboard contains a number of charts in the lower half to help you understand more about your social platform performance.

  • Explore your audience and changes over time by selecting "Social: Audience" from the drop down menu. The value will default to the max over the time period selected. To view changes and/or check for recent decreases, use the plus sign in the lower left-hand side of the chart to expand to a monthly view.
  • See how post volume may impact your engagement rate by selecting "Social: Engagement Rate Over Time" from the drop down menu to view engagement rate and post volume on the same chart.
  • Compare platform engagement rates by selecting "Platform Engagement Rate" from the drop down menu. Note that Instagram Feed and Instagram Stories are reported on separately here. We've found that there is a significant difference in engagement rates between the two.
  • To view the same charts for your best or worst performing platform, select that platform from the Platform filter at the right.
  • Explore similar elements for specific accounts within your unit, choose that account from the Social Account filter at the right.
  • See what engagement types contribute to your overall engagement. For a reminder on what types of engagement are included in each large bucket, click on the Collibra icon in the top right to review definitions in the data catalog.

Page 3 of the dashboard will help you understand where your unit accounts land in the larger ecosystem at Ohio State. You can use the charts in the lower half of the page to view how your unit compares to the average overall and other similar units.

Pro-tip: Sometimes, accounts with larger audience sizes struggle to maintain or grow engagement rates due to the volume of impressions delivered. Go to Page 5 of the dashboard and select "Relationship: Benchmarks" from the lower half of the page to examine key metrics by size of following. In this scenario, ensure all units are being reflected to get the most accurate information. This is also a great place to understand how many accounts at the institution are sized similarly to yours.

My performance does not meet my expectations – what areas of the dashboard can I use to discover more about why?

Do you have underperforming post types or platforms?

On page 3 of the dashboard, filter by Platform or Post Type to hone your analysis and identify opportunities for improvement. Use the sort functionality next to the fiscal year to sort highest to lowest. To compare year-over-year, select multiple fiscal years using the Fiscal Year filter at right. The heat map coloring is a handy way to easily spot significant differences - keep in mind that heat map coloring isn't just visually appealing, but it shows you major statistical breaks in your data.

Did a specific type of content under/over perform that skewed your overall performance?

If you are using the Content Tagging features in Sprout Social, you can evaluate rates by tag using page 4 of the dashboard.

Navigate to Page 4 and use the drop-down menu in the lower half of the page to select different types of content tags for comparison.

  • Compare the goals of your posts. Posts with the goal of engagement will likely have stronger engagement rates than posts with a goal of generating awareness.
  • Compare performance differences in your audiences. Are current students more likely to engage that donors? If yes, did you post more content catered to current students or to donors? Are there ways to optimize your audience mix or leverage strategies from one audience to another?
  • Compare performance differences in your subjects/types of content you are publishing. Is affinity content performing better than campaign content? If so, what does your content mix look like? If you are posting significantly more campaign content, can you increase the volume of another content type with stronger engagement rates in your publishing calendar? Are there copy or visual elements you can leverage from one content type to another to optimize performance?
  • If campaign content is under/over performing, select Campaigns from the drop down to determine if poor performance is applicable to all campaigns or localized to a single one. If you have commitments to support a campaign on social that is performing at a lower rate, then your overall rates may go down.

Is your social performance heavily impacted by seasonality?

Higher education is a notoriously seasonal industry. If your social engagement rates or impressions are lower than last quarter, you may just be in a seasonal slump. On the Cover Page, go to the bars in the lower half of the page and in the top left, click the plus button to expand the time detail. You should be able to spot patterns by month.

If you found differences when exploring your content tags, consider taking the next step to see if that is a trend over time or social network specific by adjusting the date range filter. Is it consistent and therefore expected? Or do you have an unanticipated drop in engagement rate during the selected period? Perform this analysis one audience, content type, campaign or goal at a time.

Are you posting more than normal?

Sometimes increasing the volume of social posts can negatively impact your social engagement rate if your impression volume increase outpaces engagement increase. Use the same page/chart referenced above to compare post volume over time. Keep in mind you can filter by platform to evaluate if a single social network is the culprit.

Could you improve by posting at different times of the day?

Your audience has a limited attention span and busy lifestyles. Perhaps the majority of your audience isn't on the social platform when you post. You can explore which times of day are best for your posts by leveraging three drop down options in the bottom half of page 5. We recommend that you select a single platform when reviewing this analysis since you may have different audiences on different platforms. Also, be cautious about outliers - check the post volumes for columns - if there is one or two posts, there might not be enough data there to be useful.

I need charts from the analysis pages of the dashboard for a presentation.

On any page, you can utilize the “Download” feature to grab elements of the dashboard and export them in a variety of ways: as an image, a cross tab data file, a PDF or a PPT.

  • Image downloads: This will download the full tab that you are on into a PNG file.
  • Cross tab data file: If you want the charts as is, don’t use this option. What will occur is that you will be able to select a page element and export the raw data as a .CSV or Excel file.
  • PDF downloads: You can download a single tab, certain data charts only from the dashboard, multiple pages or the full workbook to a PDF. If you are downloading full pages, we recommend portrait mode.
  • PowerPoint downloads work the same as PDFs relative to choices. Whichever pages you choose, each will be a single slide in your export.

I need to download the raw data to use for a presentation.

  • Navigate to page 6 and apply a few filters to grab what you need.
  • After applying all those selections, the table will show you all social posts available in Sprout.
  • Click download and select Data.
  • When you view your download, use the “Full Data tab” and select “Download all rows as a text file.

These are not the only scenarios you can explore using the dashboard. We would love to hear from you have leveraged the dashboard in your day-to-day work.
