Shared Assets in the DAM

Sharing assets is the greatest way we can build an efficient treasure trove of digital images and videos

How does shared assets work?

Shared Assets is a private collection of Ohio State assets.

  • Assets are contributed by marketing and communications staff across the university.
  • To gain access to the Shared Assets collection, units agree to contribute shared assets from their collections.
  • Unit-created assets are contributed to the collection for use with all rights released.
  • Only Ohio State images are in Shared Assets, not other copyrighted material.
  • To get access to the Ohio State Shared Assets collection, units agree to contribute shared assets from their collections.
  • Assets may include photos, videos, B-roll, drone footage, maps, artwork, even portable document formats (PDFs) or  3-dimensional renderings.

How do I gain access to the Shared Assets collection?

To access the Shared Assets collection, units agree to contribute assets.

Units will assign contributors. Contributors are required to complete training to understand how to upload, tag and manage assets. Contributors are usually photographers, videographers or designers who understand how to upload and tag assets for the good of the searching community.

Units will assign basic users, or users who will need to search shared assets for marketing and communication purposes.

What file types can be stored in the DAM?

The Ohio State DAM is supported by MerlinOne, which uses libraries and SDKs to ensure forward compatibility. For file types where supported, all embedded metadata is associated with respective fields in Merlin. Supported files include:

  • Microsoft Office documents. All text in Word documents is indexed for searching purposes, even hidden cells on multiple worksheets of an XLS/XLSX file are indexed.
  • Common video and audio formats supported: MPEG-1, MPEG-2, DV, Windows Media, Quicktime, AVI, MP4, mov, MXF, m2v, mts, asf, rm, mp3, and wav.

How many people on my team can use shared assets?

You can assign anyone as users or contributors for shared assets. but keep in mind, the goal is to widen the pool of images available, so sharing and contributing becomes important.
